We don't send a quote before we know what we're talking about. The initial review is the basis for everything that follows.

    A phone call or a meeting at your premises. We find out how you work, what isn't working at the moment and where you want to be in two years. Free of charge and with no obligation.

  2. IT review

    We record your hardware, software, licences, network, backups and security status – and give you an honest assessment, even if much of it is already working well.

  3. Quote with service levels

    A clearly defined scope, set response times, a fixed monthly price. No hidden items, no unpredictable timesheets.

  4. Handover & operation

    We take over your systems and set up documentation, monitoring and remote support. After that, ongoing operation with regular review meetings – managed from Cologne.

The most common reason companies stay with a provider they are unhappy with is fear of the move. That fear is unfounded – we have done this often enough to know what matters. How to recognise a good IT service provider is explained in our guide to choosing a provider.

  • You don't have to upset anyone. The handover is handled in a matter-of-fact way, through documents and access credentials. We take care of coordinating it if you like.
  • We take over even without documentation. If there is none – which is the norm – we survey your environment ourselves and document it. That is part of the handover and costs you nothing extra.
  • No downtime. We take over while your business keeps running. Changes that mean interruptions are scheduled for evenings or weekends.
  • Your technology stays as it is for now. We don't replace anything just because someone else installed it. What works keeps working.
  • You keep your access. Passwords and licences belong to you, not to your service provider. If you ever leave, we hand them over just as completely as we received them.
  • A four-week trial. If it isn't right after the first month, you leave – no discussion. We don't hold on to anyone with contract terms.

What exactly does an IT service provider do?

An IT service provider (in German, an IT-Systemhaus) plans, builds and runs a company's entire information technology – from desktop computers to servers, network and backup to the phone system. The difference from a hardware dealer is responsibility for day-to-day operation: we don't just sell technology, we make sure it works.

What size of company do you work for?

Our focus is on businesses with 5 to 250 workstations in the Rhineland – retail, trades, manufacturing, law and tax firms, medical practices and service businesses. At this size, a fully fledged in-house IT department is usually not economical, but professional IT support is essential.

Which area do you cover on site?

Our core area is Cologne and the immediate surroundings: Leverkusen, Bergisch Gladbach, Hürth, Frechen, Pulheim, Brühl, Bergheim and Bonn. Beyond that, we support clients throughout the Rhineland as far as Düsseldorf. Our office is at Robert-Perthel-Straße 72 in Cologne-Bilderstöckchen.

How quickly do you respond to incidents?

That depends on the agreed service level. Depending on the contract, the guaranteed response time is between two and 48 hours, graded by urgency. Critical incidents such as a server failure always take priority – in practice we get back to you much faster than the contract requires.

Can we book individual services, or only a complete package?

Both are possible. Some clients hand over their entire IT to us, others only have us monitor their backups or look after their phone system. We put the support together from individual modules. In our experience the scope grows over time – but that's your decision, not ours.

How does switching from your current IT service provider work?

With far less risk than most people fear. We regularly take over systems from previous providers: first a complete review, then an orderly handover of access credentials, licences and documentation, and finally the setup of monitoring and remote support. Your business experiences no downtime in the process.

How much does managed IT from an IT service provider cost?

We work with a fixed monthly price per workstation and per server, so your costs stay predictable. The amount depends on four things: the number of workstations and servers, the scope of services, the agreed response time and the share of on-site visits.

The honest comparison is not “support versus nothing” but “support versus an in-house position” – with holidays, sick leave and the knowledge that walks out of the door when someone resigns. Will you keep working with our existing hardware and software?

Yes. We don't replace anything just because it comes from another provider or because we would have done it differently ourselves. What runs reliably stays.

We also look after your business applications – inventory management, practice or law-firm software, CAD programs – including coordination with the respective vendor. We only replace what fails, is insecure or slows you down in your daily work. And even then, we tell you why beforehand.

What happens if our contact person is on holiday or off sick?

You have a named contact, but not just one. Every environment we look after is documented so that a colleague can take over without having to question you first. That is exactly why we invest time in documentation rather than relying on what's in someone's head.

This is also the key difference from a single freelance IT consultant: with us, the running of your business does not depend on the availability of one individual.

How long does a contract tie us in?

We work without long minimum terms. A managed services contract can be terminated at reasonably short notice, and in the first month you can leave without giving any reason.

That isn't generosity, it's experience: if you keep clients through contract terms rather than performance, you end up with unhappy clients. We would rather you stay because it works.

What is an IT systems house?

An IT systems house (German: IT-Systemhaus) takes care of a company's entire information technology – consulting, procurement, setup and day-to-day operation. The difference from a mere reseller is that it isn't selling devices but taking responsibility for outcomes: that the servers run, the backup works and someone answers the phone when something goes wrong.

The difference from a freelancer lies in cover and breadth. One person can't master firewall, database, phone system and Microsoft 365 all at once – and can't be reached while on holiday.

What is an IT service provider?

The term is broader than “systems house” and is often used interchangeably. It also covers providers that only handle one part – such as hosting only, programming only or phone support only.

So when choosing, the label matters less than the question of who is actually responsible when something breaks. If hardware, network and applications sit with different providers, that is exactly the question that is hardest to answer in an emergency.
