A server that won’t start in the morning. A printer nobody can find any more. An update that brings the inventory management system to a halt. In small and medium-sized businesses, faults like these almost always end up with the same person – the colleague who “knows a bit about computers”. And that person is then no longer generating revenue.

This is exactly where our managed IT services come in. We take over the complete operation of your IT landscape: we monitor it, keep it up to date, step in before something fails and are ready when something does happen. You get an IT department without having to build one.

What our managed IT services include

We put your support package together from modules. Depending on the size and requirements of your company, we take over individual areas or your entire IT operation.

On-site service

When hardware needs replacing, a workstation needs setting up or a problem has to be fixed in person, we come to you. Cologne, Leverkusen, Bergisch Gladbach, Hürth, Frechen, Bonn and the surrounding area.

Remote support

We resolve more than 80 per cent of all faults via remote support – usually within minutes and without anyone having to travel. Your employee calls, we connect, the problem is gone.

Remote monitoring

We monitor servers, network components, backups and storage space around the clock. Hard drives filling up, failed backups and faulty RAID disks alert us, not you.

Patch & update management

We keep operating systems, Office applications, drivers and firmware up to date – in a controlled, tested way, not blindly. Security gaps are closed before they are exploited.

User & device management

Onboarding new employees, permissions, email mailboxes, licences, employees leaving. Everything documented in a traceable way – important for audits and the GDPR.

Server & system operation

Windows Server, Hyper-V, VMware, Microsoft 365, Exchange and your business applications. We run, back up and migrate them – including upgrades to new versions.

Are we the right fit for your business?

We support companies with 5 to 250 workstations. As that is a wide range, here are three typical setups – so you can see where you stand and what it means in practice.

10 to 25 workstations, one server

One site, one server for files and the business application, one internet connection. The main concern here is reliability: tested backups, up-to-date systems and someone who answers the phone.

How we work

From the first conversation to ongoing support

No off-the-shelf standard package. We first look at what you have before we tell you what you need.

  1. Initial consultation

    A phone call or a meeting at your premises. We want to understand how you work, what is currently frustrating you and where you want to be in two years. Free of charge and without obligation.

  2. IT inventory

    We record hardware, software, licences, network, backups and security status. You get an honest assessment – even if a lot is already working well.

  3. Quote & service level

    You receive a concrete quote with a clearly defined scope of services, fixed response times and a monthly price. No hidden items.

  4. Takeover & operation

    We take over the systems, document them and set up monitoring and remote support. From then on, the managed service runs – with regular review meetings.

What actually happens when we take over an existing IT environment

Almost every environment we take over has grown rather than been planned: passwords in an Excel spreadsheet, a server nobody wants to touch any more, a backup that has not been checked for months. That is normal and nothing to be ashamed of – it is the reason the first few weeks matter.

  • Week 1 – inventory. We record devices, servers, licences, contracts, access credentials and business applications. You get an inventory list that belongs to you even if you decide against working with us.
  • Week 1 – securing access. Passwords from spreadsheets and sticky notes move into an encrypted vault. Accounts of former employees are tracked down and closed.
  • Week 2 – checking the backup. We do a test restore of a backup. Only once that has demonstrably worked does the backup count as existing.
  • Week 2 – naming the risks. You receive a short list: what needs doing this week, what this quarter, what can wait. With costs alongside.
  • From week 3 – ongoing operation. Monitoring, updates, a named contact person. Day-to-day support begins as soon as the basics are in place.
  • Permanently – documentation. Your environment is written down with us, not kept in one person’s head. You can request it at any time.

Frequently asked questions

Questions about managed IT services

What is the difference between managed IT services and IT support?

Managed IT services are the ongoing contract: monitoring, updates, tested backups, documentation and guaranteed response times. IT support is help in an individual case when something still goes wrong.

We also provide support without a contract, billed by time spent. The difference shows on the second call: without a contract, the question of how your environment is set up starts from scratch every time – and you pay for that time as well.

How much do managed IT services cost?

That depends on the number of workstations and servers and on the service level you want. A monthly flat fee per managed workstation and server is usual. After the inventory, you receive a concrete, binding quote – with no hidden items and no minimum term beyond twelve months.

How quickly do you respond to a fault?

We set that out in the service level. Depending on the agreement, the guaranteed response time is between two and 48 hours, graded by urgency. A server outage is treated differently from a printer that is playing up. In practice, we get back to you on critical faults much faster than the contract requires.

Do you also support small businesses with five workstations?

Yes. A large share of our clients have between 5 and 50 workstations – law and tax firms, medical practices, skilled trades businesses, retail and wholesale companies and agencies. At this size, an in-house IT department is not economical, but professional support is still necessary.

What is the difference between remote support and on-site service?

With remote support, we connect to the affected computer or server with your permission and fix the problem remotely – usually within minutes. You need on-site service when hardware has to be replaced, cabled or physically checked. Both are included in our managed services contracts.

Do you also look after our industry software?

We make sure your business application runs: server, database, updates, backups, interfaces and permissions. For questions about how to use it, the software vendor remains responsible – we coordinate with their support team and speak the same language.

How far do you travel for on-site service?

Our core area is Cologne and the immediate surroundings: Leverkusen, Bergisch Gladbach, Hürth, Frechen, Pulheim, Brühl, Bergheim and Bonn. Beyond that, we support clients throughout the Rhineland as far as Düsseldorf. Get in touch if your site is further afield – we often handle branch support via remote access.

We have no documentation of our IT. Is that a problem?

No, that is the norm. Most businesses we take over have no reliable documentation – and if they do, it is two server generations out of date.

That is why we record your environment ourselves: devices, servers, licences, contracts, access credentials, business applications. This is part of the takeover and is not charged separately. At the end, you have an inventory list that belongs to you – even if you decide not to work with us.

Do we have to terminate our contract with our current provider first?

Not necessarily, and the reverse order is usually better: first talk to us, then give notice with the appropriate notice period. That way there is no gap.

The handover itself is a matter of documents and access credentials. If you wish, we will coordinate with your current provider – that is usually more relaxed for everyone involved than it feels beforehand.

How much does an IT maintenance contract cost?

The price depends on six things: the complexity and condition of your environment, the scope of the contract, the guaranteed response time, the share of on-site visits, the number of workstations and servers, and any particular documentation obligations in your industry.

We deliberately do not give a figure here, because without knowing your environment it would be a guess. What we offer instead: a free inventory, followed by a fixed monthly price with a clearly stated scope of services.

What is the difference between maintenance and service?

Maintenance is planned, service is unplanned. Maintenance includes updates, backup checks, monitoring and replacing ageing parts – things that happen at a set time. Service is what happens when something is not working.

Important when comparing quotes: some contracts only cover maintenance and bill every fault by the hour. Others include both in a flat fee. Both are reasonable – what is not reasonable is finding out on the first invoice.

We have 50 workstations and three servers. Is that your size?

Yes, that is our most common setup. At this size, we typically look after virtualised servers, a structured network, Microsoft 365, a phone system and a business application – with round-the-clock monitoring and a guaranteed response time.

We support companies with 5 to 250 workstations. We also work with larger organisations, but then usually alongside an in-house IT department rather than instead of it.

With eight workstations, are we too small for you?

No. Our smallest managed services contracts start at five workstations. The price per workstation is naturally higher there, because baseline work such as monitoring, documentation and the backup concept arises regardless of size.

If a full contract does not fit, many smaller businesses start with a single module – for example, monitoring of the backup only.
